Every time someone takes an action in your business, something needs to happen next.
They buy your course. → Someone needs to give them access.
They fill in your contact form. → Someone needs to follow up.
They book a call. → Someone needs to send a confirmation, a reminder, an onboarding email.
They join your list. → Someone needs to welcome them.
Right now, that someone is probably you.
And you’re doing it manually, every single time, for every person, on top of everything else you’re already trying to do. It doesn’t feel like a big deal until you realise you’ve spent three hours this week on things that could have happened automatically while you were doing literally anything else.
This post is about your tools doing what they’re supposed to do, without you having to be the one connecting the dots every single time.
What Automation Actually Means
People hear automation and picture robots on a factory floor, or AI doing something complicated and slightly terrifying. But for a small service business, automation is much simpler than that.
Automation means: something happens, and your tools respond. Without you having to be involved.
It covers an enormous range of things that you probably never thought of as automation. Sending a welcome email when someone joins your list? Automation. Adding a tag to a contact when they click a link? Automation. Creating a task in your project management tool when a new client pays? Automation. Sending a review request three days after someone completes a project? Automation.
It is replacing the repetitive, mechanical, nobody-actually-needs-a-person-for-this parts. The stuff that was never a good use of your time in the first place.
And once it’s set up, it runs without your interference. You configure it once and your tools handle it from there, whether that’s the next hundred sign-ups or the next thousand.
Sometimes your tools can connect directly to each other without anything in between.Â
Kit, for example, has native integrations with a growing number of platforms, meaning a purchase in Shopify or a course enrollment in Circle can automatically trigger an email sequence, add a tag, or kick off an onboarding flow without a third-party tool anywhere in sight. Other times, you need something sitting in the middle to bridge two tools that don’t talk to each other natively. That’s where tools like Zapier, Make, and n8n come in.
Either way, the principle is the same. Something happens. Something else happens as a result. Automatically.

The moment a payment goes through, one thing needs to happen before anything else: they need to get in. Access to the course, the community, the thing they just paid for. Right now, that might mean you logging in, finding their email, clicking through settings, and manually granting access. With automation, that happens instantly and automatically the moment the purchase is confirmed.
And then the chain continues. A welcome email lands in their inbox. They get added to the right segment in your email platform. A tag goes on their contact record so your future emails know they’re a customer, not a prospect. All of that before you’ve even seen the notification.

A confirmation goes out straight away. A reminder follows the day before. After the call, a follow-up email lands in their inbox. If they don’t book, a gentle nudge can go out a day later. Your calendar, your email platform, and your project management tool all know this person exists, without you touching a single thing.
These are just four examples, but the pattern is the same every time. Something happens, and a chain of useful things follows automatically. Which brings us to how these tools actually work under the hood.
How Do These Tools Actually Work?
Every automation, no matter how simple or complex, is built on the same idea: a trigger and an action.
The trigger is the thing that happens that starts it. Someone submits a form. A payment goes through. A tag gets added to a contact. A call was had. That event is what sets everything in motion.
The action is what happens as a result. An email gets sent. A contact gets added to a list. Access gets granted. A task gets created. A notification lands in Slack.
Put them together and you have: if this happens, do that. That is the entire logic behind every automation you will ever build.
Some automations are a single trigger and a single action. If a document in Notion is added, a Slack notification is made. Done. Others are a trigger followed by a whole chain of actions, like the course purchase example above, where one payment kicks off access, a welcome email, a tag, a sequence, and a team notification all at once.
The tools that make this possible, whether that is something built into your existing platform or a connector tool sitting in the middle, are simply reading for that trigger and firing off the actions you have told them to take. They are not thinking. They are not making decisions. They are following the rules you set, reliably, every time, without needing a coffee break.
The Tools That Make It Happen
Now that you know what automation can do, let’s talk about what actually powers it. Like I said, more and more native integrations are happening, which is amazing. The list of tools that communicate with Kit directly make my tech heart happy. However, sometimes you need a tool in between.
The three tools that come up most often in this space are Zapier, Make, and n8n. They all do a version of the same thing, but they suit different people and different situations.

Zapier
Zapier is the one most people encounter first, and for good reason. It is beginner-friendly, works with thousands of apps, and lets you set up a simple automation in minutes with no prior experience. If you have two tools that need to talk to each other and you want it working today, Zapier is usually the fastest route there.
The trade-off is cost. While Zapier has a free version that one runs into limits fast. And then Zapier charges per task, meaning every action your automation performs counts toward your monthly limit. For simple automations that don’t run constantly, that’s fine. For more complex, high-volume workflows, it can get expensive quickly.
Make
Make (previously called Integromat) sits a step up in both complexity and power. Instead of a linear step-by-step flow, Make lets you build visual scenarios that can branch, loop, and handle much more complex logic. It is also significantly more cost-effective for automations that run frequently, because it charges per scenario run rather than per individual action.
Depending on your setup you might also notice that Make is cheaper than Zapier for your automations.
However, we’ve noticed that there are less apps available which means you need webhooks more often. And that is not something I would recommend for non-techy people.
n8n
n8n is the one for the genuinely technically curious. It is open source, which means you can self-host it, and it gives you an enormous amount of flexibility and control. It is also the most cost-effective option at scale.
That said, it has a steeper learning curve than the other two and is not where most small business owners should start (or even go). It is worth knowing it exists, especially if you are the kind of person who likes to get deep into how things work, but for most of the people reading this post Zapier or Make will be the best choice.
